Position Summary
The EHS Administration & Systems Specialist provides critical operational, systems, project, and administrative support to the Environment, Health & Safety (EHS) function. This role serves as a key resource for EHS management systems, digital platforms, communications, document control, and team coordination activities. The successful candidate is a highly organized self-starter with strong technical capabilities, excellent problem-solving skills, and a demonstrated ability to leverage Microsoft 365 and AI-enabled tools to improve efficiency and effectiveness.
This position requires a proactive professional who can independently manage multiple priorities, maintain critical EHS systems and content, support initiatives, and drive administrative excellence across the EHS organization.
Key Responsibilities
EHS Document Management
- Administer and maintain EHS documents within PolicyTech and other document management systems.
- Coordinate document review, approval, publication, and archiving processes.
- Manage translation requests for EHS procedures, standards, and related documentation.
- Ensure translated materials are distributed, uploaded, and maintained appropriately.
- Support document management system improvement initiatives and process optimization efforts.
SharePoint & Digital Workplace Administration - Serve as technical support for the EHS Home SharePoint site.
- Maintain current, accurate, and engaging content across EHS SharePoint pages.
- Create and update site content, document libraries, communications, lists, and navigation structures.
- Implement enhancements that improve user experience and accessibility.
- Leverage Microsoft 365 tools to streamline information sharing and collaboration.
User Access & Systems Support - Manage user access requests for EHS systems and applications.
- Maintain EHS distribution lists, contact lists, and user permissions.
- Provide first-level helpdesk support for Guardian and other assigned systems.
- Troubleshoot common user issues and escalate technical problems as necessary.
Project & Program Support - Provide coordination and administrative support for key EHS initiatives and projects.
- Track project actions, milestones, deliverables, and communications.
Communications & Learning Support - Coordinate publication and distribution of EHS Alerts, One Point Lessons, safety communications, and related materials.
- Assign keywords and metadata to improve document searchability and accessibility.
- Support learning content administration and training program coordination.
- Assist with communication planning and employee engagement activities.
Meeting & Event Coordination - Coordinate logistics for monthly team webcasts and other EHS meetings.
- Support scheduling, meeting materials, attendee communications, and follow-up actions.
- Assist with planning and coordination of virtual and in-person events.
Process Improvement & AI Utilization - Identify opportunities to automate and streamline administrative and operational processes.
- Utilize AI-enabled tools and Microsoft Copilot capabilities to improve productivity and efficiency.
- Recommend process improvements that reduce administrative burden and enhance user experience.
- Support digital transformation initiatives within the EHS organization.
Qualifications
Education - Associate's or Bachelor's degree in Business Administration, Information Systems, Communications, EHS, or related field preferred.
- Equivalent experience will be considered.
Experience - 3+ years of experience in an administrative, coordinator, systems support, or project support role.
- Experience supporting global or multi-location organizations preferred.
- Experience with document management systems, SharePoint administration, or learning management systems strongly preferred.
Technical Skills - Advanced proficiency with Microsoft 365 applications, including:
- SharePoint Online
- Teams
- Outlook
- Word
- Excel
- PowerPoint
- OneNote
- Experience with Microsoft Copilot or other AI productivity tools.
- Experience managing permissions, workflows, and content within SharePoint.
- Familiarity with document management systems
- Strong data management and reporting skills.

Base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. Hourly and salaried non-exempt employees will also be paid overtime pay when working qualifying overtime hours.
If hired, employees will be in an “at-will position” and the Company reserves the right to modify base pay (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
