The Role
We are seeking a proactive and detail-oriented Client Account Management / Administrative Assistant to act as the key liaison between our billing team, collection agents, and clients. This role is essential to ensure smooth communication regarding invoices, payments, and account status while maintaining positive client relationships. There is a focus on communication in this position rather than “collection calls”. The ideal candidate has a strong background in billing coordination, collections, and client service.
Responsibilities:
· Serve as the main point of contact for client billing inquiries and payment coordination.
· Work closely with the billing department to ensure invoices are accurate, timely, and aligned with engagement terms.
· Monitor outstanding accounts and follow up on past-due balances professionally.
· Communicate with clients regarding payment terms, overdue balances, and resolve disputes or discrepancies quickly and diplomatically.
· Maintain detailed records of client communications, payment agreements, and account histories.
· Track accounts receivable aging and generate regular reports for internal teams.
· Assist with developing and implementing billing and collections policies that promote efficiency and client satisfaction.
· Ensure a high level of client satisfaction while maintaining firm policies on billing and collections.
· Educate clients on payment methods, billing cycles, and any updates to financial procedures or terms of service.
· Function as part of the administrative team by supporting in organization of client details and project workstreams.
· Additional duties could consist of answering/directing phone calls, data entry, check writing, copying/scanning, file maintenance, assembling tax returns and other projects when available.
Qualifications:
· Strong interpersonal and customer service skills with the ability to handle sensitive financial conversations professionally.
· High attention to detail and ability to manage multiple client accounts simultaneously.
· Excellent organizational and communication skills, both written and verbal.
· Knowledge of general accounting, billing practices, office management systems and procedures.
· Adaptable to change.
· Proficiency with MS Office + Zoom.
· Familiarity with accounting or practice management software preferred
Pay Range: $20-25 an hour; Full time (35-40 hours per week)

· Our administrative staff works in the Decatur office building and collaborates with our broader team via Zoom. This position is onsite at the Decatur office.
