Macon Resources, Inc. is seeking a proactive and organized Executive Coordinator. Under the direction of the President/CEO, the Executive Coordinator supports the CEO primarily and provides additional support to executive team members to ensure company goals and objectives are accomplished and operations run smoothly. ESSENTIAL JOB RESPONSIBILITIES
- Manage multiple or complex calendars, including scheduling, agendas, mail, email, and phone calls for the CEO and executive leadership team.
- Prepare correspondence and materials for the CEO, leadership team, and Board of Directors, including agendas, meeting minutes, and special announcements.
- Handle confidential documents and sensitive information securely and professionally.
- Organize team communications and coordinate internal and off-site events.
- Monitor and update policies and procedures; manage regulatory agendas and record keeping.
- Demonstrate strong time-management skills and the ability to coordinate multiple concurrent projects.
- Attend and complete initial MRI training requirements (core and job-specific), and participate in ongoing re-certification or refresher sessions as required.
- Participate in agency in-service training sessions as assigned or voluntarily to enhance knowledge and skills.
- Drive safely in an official capacity to conduct agency business (no transportation of individuals/families served); complete Basic Drivers Training and follow all applicable laws and agency policies.
- Communicate, retain, and release information on a need-to-know basis in accordance with the Mental Health and Developmental Disabilities Confidentiality Act and MRI policies.
- Use Microsoft Word, Excel, and PowerPoint with accuracy and precision to perform administrative functions.
- Practice and enforce MRI safety policies and procedures, ensuring the safety of staff, persons/families served, guests, and agency property.
- Keep supervisor informed of problems and activities within assigned responsibilities; refer matters beyond authority to supervisor.
- Perform special projects or other related work as required or requested.
Qualifications
JOB QUALIFICATIONS
- Associate’s Degree preferred, with 3–5 years of experience in a similar administrative or coordination role.
- Strong time-management skills and ability to organize and coordinate multiple concurrent projects.
- Proficiency in Microsoft Office software including Word, Excel, Outlook, Publisher, and other similar systems.
- Effective and diplomatic communication skills (oral and written); ability to meet and work with the public.
- Ability to implement office and agency policies and procedures with minimal supervision; must demonstrate accuracy, dependability, initiative, orderliness, and timeliness.
- Ability to maintain confidentiality in accordance with the Mental Health and Developmental Disabilities Confidentiality Act and MRI policies.
- Ability to summarize, synthesize, and analyze data and information.
- Reliable transportation for agency business (excluding transportation of individuals served); must maintain a valid Illinois Driver’s License and a good Motor Vehicle Record.
- Must maintain personal auto insurance with the following minimum coverage:
- Bodily Injury Liability per Person: $50,000
- Liability per Accident: $100,000
- Property Liability: $100,000
- Medical Payments: $5,000
- Uninsured/Underinsured Person: $100,000
- Accident: $300,000
- Completion of MRI training requirements.
