Typical work hours are Monday through Friday 8:00 a.m. to 5:00 p.m. There may be occasional irregular hours including evenings, and weekends. Summer hours may vary.
This position is eligible for the Flexible Work Arrangement after the 120-day probationary period has been successfully completed per the Supervisor.

Job Description
Position Summary
This position supports the functions of the Academic Success Center including Accommodations, Tutoring Services, Testing Center, and Mathematics Enrichment Center. This is a confidential position that is responsible for processing information of a personal nature while supporting the Director of the Academic Success Center. Work is performed under a minimum of supervision and requires incumbent to exercise independent judgment and discretion. Work involves advanced clerical tasks that require broad knowledge of departmental activities, policies, and work processes. Candidates should possess outgoing, approachable personality with a demonstrated ability to engage comfortably and professionally with a diverse range of individuals.

Essential Functions
Organizes and expedites the flow of work through the Director’s office as well as the Academic Success Center such as scheduling appointments, arranging meetings and conferences, preparing travel requests and reimbursements, and communicating the Director’s instructions to various individuals and/or departments/divisions.

Obtains and furnishes information from other departments/divisions as well as outside of the college. Maintains the master ASC Tutoring Schedule and distributes as necessary for staff and student awareness. Receives and screens telephone calls, mail, emails, letters, and/or visitors and answer routine questions while maintaining confidentiality of student information. Compose routine letters and memoranda and route or answer correspondence not requiring supervisor’s attention. Create, publish, and distribute information about the ASC, including presentations, workshop offerings, and Accommodations materials.

Provides confidential support for accommodations such as collecting documentation, preparing folders, scheduling appointments, scheduling interpretive services, processing interpreter invoices, ordering adaptive textbooks, providing braille documents for visually impaired students, scheduling test reading/writing appointments and room as applicable, cross checking disability code inputs in MyRichland, organizing Delta Alpha Pi activities and events, and having knowledge of adaptive technology and software.

Prepares regularly scheduled and special reports, complex correspondence and presentations by gathering and summarizing data for Accommodations, Tutoring and Mathematics Enrichment Centers. Maintains student/visitor tracking and update data, as needed. Prepares reports for all ASC and MEC services to Director as needed.

Assists Director with the formulation and tracking of the Academic Success Center and Mathematics Enrichment Center budgets. Creates and tracks purchase requisitions.
Responsible for organizing and ordering adequate supplies/materials for the Academic Success Center and Mathematics Enrichment Center, as well as requesting maintenance, tech services, and computer work orders for all areas of the ASC.

Supports the success and retention of students by assisting students, faculty, and staff with basic technology, software, and Academic Success Center portals such as the Accommodations Application and Student Scheduling System. Provides administrative support during the hiring process for new tutors by coordinating interviews with faculty, ASC staff, and the candidates and by preparing interview files.

Enters Passport Workshop schedules into Jenzabar, enrolls students into PASS, and tracks enrollment. Assists with communication, Canvas courses, PASS course materials, and other duties associated with PASS workshops.

Participate in committee work as needed.

Perform other duties as assigned.
Required Qualifications
Minimum Requirements
An Associate’s Degree in Office Technology or related field, plus three years administrative support experience. Competency with various office software products is required.

Ability to maintain confidential information. Excellent skills in organizing, prioritizing, planning, multitasking, writing, and communicating with patience and professionalism. Strong customer service orientation with demonstrated experience providing excellent service in fast-paced, student-centered environments. Experience and ability to work with the public, including stressful situations, while remaining calm, organized, and welcoming. Thrives in busy, student-facing areas with frequent walk-ins, spontaneous interactions, and in-person support needs. Ability to establish and maintain effective working relationships with students, faculty, other employees, and the public. Ability to make decisions in accordance with college policy, rules, regulations, and departmental policies. Considerable knowledge of modern office practices and procedures. High level of competency using computer systems and applications including Microsoft Office Suite, and the ability to learn college systems.
