Job Description | POSITION SUMMARY Performs full clerical, administrative, and general office duties of a responsible and confidential nature. This role also involves entering participant information, programmatic and service data, outcome metrics, and verifying data accuracy for the Pre-Apprenticeship program and other workforce development programs. This person will also oversee the traffic safety program and enrollment. The role also involves working with various reporting systems as directed and coordinating with other program roles to manage data entry and reporting processes. ESSENTIAL FUNCTIONS · Coordinate and schedule all traffic safety training classes. · Serve as liaison by communicating the Director’s instructions and coordinating with workforce staff, program participants, vendors, and internal departments. · Organize and maintain files, correspondence, and records; prepare and route routine letters, reports, and presentations; track pending matters and ensure timely follow-up. · Support program operations by assisting with enrollment, staff contracts, participant applications, stipends, scheduling of traffic safety training, ordering supplies, and processing travel requests. · Manage office workflow by routing calls, visitors, and mail; preparing agendas and meeting minutes; and ensuring smooth day-to-day operations. · Collect, track, and maintain participant data in spreadsheets and reporting systems; conduct regular audits to ensure accuracy, compliance, and data integrity. · Prepare special reports by gathering and summarizing data; assist with monthly participant reporting for Workforce programs. · Assist with planning and coordination of Workforce events, including graduations and other activities. · Ensure confidentiality of participant information · Ensure compliance with all reporting and technical requirements. · Provide administrative support to the Executive Director Perform other duties as assigned. |
Required Qualifications | MINIMUM REQUIREMENTS Associates degree in a related field and three years of experience in performing secretarial work. REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES Strong written and verbal communication skills and word processing and spreadsheet skills; good telephone skills; experience and ability to work with the public in stressful situations; ability to prioritize job responsibilities; knowledge of modern office practices and procedures; ability to make decisions in accordance with college policy, rules, regulations, and departmental policies; and the ability to establish and maintain effective working relationships with other employees and with the public. Consistently performs duties with concern, courtesy, and respect for all persons in a prompt and timely manner. Must work cooperatively with participants, staff, and community members and be sensitive and respectful to issues of student and staff diversity. Consistently exhibits responsiveness to others in the organization at all levels and responds to requests for assistance from participants, staff, and community members in a helpful and timely manner. |
