POSITION SUMMARY
The Data Entry Coordinator is responsible for ensuring accurate, timely, and compliant data entry, documentation, and reporting for the Clean Energy Contractor Incubator (CECI) and Minority Mentor Protégé Program (MMPP). This position supports program accountability by maintaining participant records, service data, outcome metrics, and financial documentation required for grant reporting, monitoring, and audits.
The Data Entry Coordinator works closely with program staff, finance, and leadership to ensure that all data aligns with grant requirements, reconciles with financial records, and supports performance reporting. This role is critical to maintaining data integrity, audit readiness, and compliance with state and grantor expectations.

ESSENTIAL FUNCTIONS
· Enter and maintain accurate participant, service, and outcome data for CECI and MMPP
· Maintain documentation required for grant reporting, monitoring, and audits
· Support preparation of monthly, quarterly, and annual program reports
· Assist with reconciliation of program data with financial ledgers and PFRs in coordination with finance staff
· Conduct routine data reviews to ensure accuracy and completeness
· Identify data discrepancies or gaps and communicate findings to program leadership
· Respond to internal and external data requests related to program performance and compliance
· Perform other duties as assigned.
Required Qualifications
MINIMUM REQUIREMENTS
Associate’s degree (or equivalent) in Data Management, Information Systems, Business Administration, Accounting, or a closely related field, along with a minimum of two (2) years of experience in data entry, data management, administrative reporting, or a comparable role.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
The position requires demonstrated proficiency with Microsoft Office applications, particularly Excel, Word, Outlook, and Teams, and the ability to manage multiple data sources and reporting deadlines. Strong attention to detail, organizational skills, and the ability to maintain accurate and confidential records are essential for success in this role.
The successful candidate must possess knowledge of data entry procedures, documentation standards, and record-keeping practices, particularly within compliance-driven or grant-funded environments. This position requires strong organizational and time-management skills, the ability to analyze data for accuracy and completeness, and the ability to identify and resolve discrepancies. Effective written and verbal communication skills are necessary to collaborate with program staff, finance, and administrative teams. The individual must also demonstrate the ability to handle sensitive information with discretion, work independently under deadlines, and maintain a high level of accuracy while managing multiple priorities.

EXPECTED HOURS OF WORK
Must be willing to work beyond an 8:00 a.m. to 5:00p.m. work schedule to fulfill the responsibilities of the position. There may be irregular hours including weekend and/or evening hours. Summer hours may vary. This position is eligible for an alternate work schedule after the probationary period has been successfully completed.
TRAVEL
Some local travel required.
Participation at state or local meetings and/or conferences may require overnight travel.
Salary N-8 $19.34 - $24.18/hr
